Compliance Gets Personal: User Compliance Dashboards
Enforcing policy awareness, acceptance and compliance across one's entire organisation can be a daunting, if near impossible task. With a continual stream of joiners, leavers and movers combined with frequent organisational restructures, it can be a full-time job just to track all the changes. Even if you know where all your employees are and what they do, its still a major headache getting them all to read, understand and accept responsibility for all your policies, standards and procedures. |
One problem in today's increasingly regulated world is the sheer volume of internal policies and supporting documents you need them to sign up to, another is getting them to actually do it! People in the workplace simply don't have enough time to search through all the information and work out which bits are relevant to them, so a perpetual state of information overload causes them to avoid or push back on these responsibilities. |
But imagine a situation where each employee was only shown the policies and supporting information that was directly applicable to them, in their specific role and business area. Further imagine that instead of being given reams of paper policies to read and sign, the relevant information and instructions on what they needed to do were clearly presented to them via a single webpage, which also told them how well they were progressing with their awareness, acceptance and tests, and also how their progress compared with the average progress of others in their group - or across the organisation as a whole... Science fiction - or a real possibility? |
RuleSafe v4.0 delivers all of the above and more. Its database containing all of your organisational policies, risk management processes, awareness material and knowledge tests, has all content arranged according to its relevance to people, processes and organisational structure. This ensures that only relevant information and requirements are targeted at specific groups or individuals, thereby significantly reducing any risk of information overload on staff. RuleSafe 4.0 delivers a powerful framework that ensures awareness, verifies understanding and acceptance of the rules, and drives accountability for risk management throughout the business. |

Every employee receives a personalised dashboard display, showing clearly and graphically their current status in respect of policies they should read and accept, knowledge tests they need to complete, and messages or tasks they need to action. They can even see how often they interact with RuleSafe's awareness material and how long it's been since their last visit. But even with this level of clarity and unambiguity there might still be a temptation to 'put off' doing any of these things until later, or until reminded by someone above them. This is where RuleSafe leverages workplace psychology to ensure things get done. |
In addition to showing the employee their own progress towards full awareness and compliance, RuleSafe also has a feature called 'benchmarking', which shows each employee how their progress score compares with the averaged scores of their collegues or the organisation as a whole. Results show that an employee who see their progress fall below the average of their peers will usually take swift action to ensure they at least equal or surpass their colleague's performance, which in turn 'raises the bar' to motivate others. By exploiting this fundamental aversion to coming last, RuleSafe automatically ratchets-up the compliance culture in organisations. |
As if all this wasn't enough to ensure human compliance, RuleSafe provides the managers of each group or division with a manager's dashboard through which they can track how well each of their subordinates are performing in respect of awareness and compliance tasks; and how well their group is performing overall. As with their personal dashboard, their manager dashboard also shows how well their group is performing against other groups at their level, and again provides a clear visual incentive for they and their team to outperform the other manager's teams. As RuleSafe is built on a unique 'personalisation' model that builds and maps the organisational reporting structure; each level of management sees a similar picture of how well they and their teams are performing against the average of their peer groups - and against the organisation generally. |
